Terms of Service
The plain-language terms for using RV Ring. Month to month, no contract, and the two promises that define the product are written down here so you can hold us to them.
Effective date: July 28, 2026
These terms are an agreement between the RV park or campground signing up for the service ("you," "the park") and RV Ring LLC, based in Montana ("RV Ring," "we," "us"). By signing up for the service you agree to them. Using this website alone doesn't create a customer relationship — these terms bind you when you become a customer.
1. What the service is
RV Ring is a 24/7 AI phone receptionist for your park. It answers calls on the line you point at it, greets callers, answers questions from the profile we build with you, routes urgent matters, and captures a complete booking brief — dates, rig, hookups, party size, callback number — which it delivers to the staff contacts you designate. Your team receives the brief and closes the booking. The service includes a customer dashboard where you can review calls, transcripts, and summaries.
Setup is done for you: we build your park's profile, configure and test the phone flow, and train your staff before the line goes live.
2. RV Ring is not an emergency service
3. No availability guarantee — a human closes every booking
4. Call recording and consent
Every call the assistant answers is recorded and transcribed, and the assistant discloses at the start of each call that the caller is speaking with an AI assistant and that the call is recorded. By using the service, you authorize RV Ring to record and transcribe calls on the phone line(s) you connect to the service, and you represent and warrant that you have the authority to grant that authorization for those lines. If you ask us to route or announce calls in a way that changes what callers are told, you're responsible for making sure it's lawful where your callers are.
How caller data is handled is covered in our Privacy Policy.
5. Fees and billing
- Monthly service fee. The Front Desk plan is $499/month. Your rate is the one agreed at signup; current pricing is published at rvring.com/pricing.
- Founding rate. The first five parks pay $299/month, locked for 12 months from signup, then the then-standard rate applies. The founding cohort's setup fee is waived.
- Setup fee. One-time $1,499 (unless waived in writing). It is not billed until your dashboard is live — you are never charged for setup work you can't yet see. This is a promise, not fine print.
- Fair use. Calls are unlimited under fair use. If a park's volume runs far beyond the norm for its size, we'll talk to you about it before anything changes — no surprise overage charges.
- Guarantee. If you're unhappy with the service for any reason, tell us and we'll refund you.
6. Term, seasonal pause, and cancellation
- Month to month. There is no long-term contract. Either of us can end the service at any time, effective at the end of the current billing period.
- Seasonal pause. If your park closes for the season, you can pause the service at a reduced rate agreed with us instead of cancelling, and resume without redoing setup.
- Cancelling outright. If you cancel (rather than pause) and later return, a new setup fee applies.
- Non-payment. We may suspend the service for unpaid invoices after notice and a reasonable chance to fix it.
7. Your responsibilities
- Keep your park's information accurate — rates, rules, hours, routing numbers — and tell us when it changes. The assistant answers with what it's been given.
- Make sure the staff numbers you designate for briefs and transfers are correct and belong to people who agreed to receive them.
- Have the authority over the phone line(s) you connect to the service (see section 4).
- Use the service lawfully and only for your park's own operations.
- Review the briefs your team receives — the assistant captures and routes; your staff act.
8. Your data stays yours
Your park's business information, and the call records generated on your line — recordings, transcripts, briefs, reports — are your data. We host and process them to run the service, and you can export them or request their deletion when the service ends. RV Ring owns the platform: the software, the agent templates, the workflows, and everything else that makes the service run. We may use de-identified, aggregated data (never your park's name or your callers' identities) to improve the service for every park.
9. Disclaimers and limitation of liability
The assistant is an AI. We build, test, and monitor it carefully — every park's setup runs a test suite before go-live — but automated transcription and summaries can contain errors, and no phone or AI system is infallible or uninterruptible. Except as expressly stated in these terms, the service is provided without other warranties.
To the fullest extent permitted by law: RV Ring is not liable for indirect, incidental, consequential, or punitive damages, or for lost profits, lost bookings, or lost business opportunities; and RV Ring's total liability arising out of the service is limited to the fees you paid to RV Ring in the twelve months before the event giving rise to the claim. Nothing in these terms limits liability that cannot lawfully be limited.
10. What happens when the service ends
When the service ends — whoever ends it — we point your line back the way you want it, you can request an export of your call data, and we delete or de-identify your data as described in the Privacy Policy. Sections that by their nature survive (data ownership, liability limits, and any unpaid fees) survive.
11. Changes to these terms
If these terms change, the new version is posted here with a new effective date, and we'll notify customers of material changes before they take effect. Continuing to use the service after that means you accept them; if you don't, you can cancel — it's month to month.
12. Governing law
These terms are governed by the laws of the State of Montana, without regard to conflict-of-law rules.
