Privacy Policy
How RV Ring collects, uses, and protects information — written to be read, not skimmed past. If anything here is unclear, email hello@rvring.com and a person will answer.

This policy is published by RV Ring LLC, based in Montana ("RV Ring," "we," "us"). RV Ring provides a 24/7 AI phone receptionist service to independent RV parks and campgrounds, along with this website and a dashboard for the parks that use the service.
Who this policy covers
Two very different groups of people interact with RV Ring, and we owe each of them a straight answer about their data:
- Park operators and prospects — owners and staff of RV parks who visit this website, receive our sales materials, complete an onboarding questionnaire, or use the RV Ring service and dashboard.
- Callers to a park's RV Ring line — guests and other people who phone an RV park whose calls are answered by RV Ring. These callers are third parties who may never have visited this website. If that's you: your call was answered by our AI assistant on behalf of the park you dialed, and this section of the policy exists for you.
What we collect and why
From park operators and site visitors
- Contact and business details — name, email address, phone number, park name, and the information about the park (rates, rules, hours, directions, routing preferences) provided during onboarding or gathered from the park's own public website. We use this to build and run the park's receptionist and to communicate about the service.
- Account and dashboard data — sign-in credentials and activity needed to operate the customer dashboard.
- Billing information — payment details are handled by our payment processor; RV Ring does not store full card numbers.
From callers to a park's RV Ring line
- Caller ID — the phone number the call came from.
- Call recordings and transcripts — the audio and a written transcript of the call (see the recording and AI section below).
- What the caller tells the assistant — typically a name, a callback number, stay dates, rig type and size, hookup needs, party size, or the content of a message for park staff.
We collect this for one purpose: to hand the park's own front desk a complete, accurate brief of the call so a human can follow up. We also use call records to give the park a reviewable log of its own calls and to test and improve the reliability of the service. We do not use caller information to advertise to callers, and we do not sell it.
Calls are answered by an AI, and they are recorded
Every call answered by RV Ring is answered by an AI voice assistant, not a human being, and every call is recorded and transcribed. The assistant says so plainly at the start of each call — callers are told they are speaking with an AI assistant and that the call is recorded so their details can reach the front desk. The assistant is never permitted to claim to be human.
The assistant never takes payment information over the phone, never accesses reservation systems, and never confirms availability — it captures the caller's request and passes it to the park's staff, who handle everything from there.
Text messages (SMS)
RV Ring sends text messages in a narrow set of cases:
- Booking briefs and call notifications to park staff. When the assistant finishes a call, it can text a summary of that call (the "brief") to the staff phone numbers the park designated during onboarding. These are operational messages to the park's own team, at numbers the park chose, with the park's consent given at setup.
- Follow-up texts a caller asks for. If a caller to one of our demo lines agrees on the call to receive a follow-up text, we send that one follow-up.
- Service messages to customers about their RV Ring account.
Message frequency varies with call volume. Message and data rates may apply. Reply STOP to any RV Ring text to stop receiving messages, or HELP (or email hello@rvring.com) for help. Park staff can also ask their park's owner or RV Ring to remove their number from brief delivery at any time.
Mobile information is never sold or shared
Phone numbers collected for SMS — whether a park staff member's brief-delivery number or a caller's callback number — are used only to deliver the messages described above.
How we use information
- To answer a park's calls and deliver briefs to its staff.
- To set up, run, support, and bill the service.
- To give each park a reviewable record of its own calls (transcripts, recordings, summaries, reports).
- To test and improve the reliability and accuracy of the assistant.
- To meet legal obligations.
We do not sell personal information, and we do not share it with anyone for their own marketing.
Third parties that process data for us
RV Ring runs on a small set of subcontracted processors, each used only to operate the service:
- Voice AI provider — powers the assistant's speech recognition, conversation, and voice.
- Telephony carrier — connects the phone calls and delivers SMS.
- Hosting provider — serves this website and the dashboard.
- Database provider — stores call records and account data.
- Payment processor — handles customer billing.
Each receives only what it needs to do its job. We may also disclose information if the law requires it, or as part of a sale or reorganization of the business (in which case this policy still governs the data).
How long we keep it
Call recordings, transcripts, and briefs are kept while the park's account is active, so the park has its call history, and are deleted or de-identified when no longer needed for the service, for legitimate business records, or for legal requirements. Account and billing records are kept as long as tax and accounting rules require.
Your choices — including deletion
- Anyone — caller or customer — can email hello@rvring.com to ask what we hold about them or to request deletion. We will verify the request and honor it unless the law requires us to keep something.
- Callers can request deletion of a recording or transcript of their call.
- Texts: reply STOP to stop.
Children
Neither this website nor the service is directed at children under 13, and we do not knowingly collect their information.
Changes to this policy
If this policy changes, the new version is posted here with a new effective date. Material changes get called out to our customers directly.
